Simple Sharing and Uncomplicated Collaboration-Microsoft SharePoint

1-What is SharePoint?

SharePoint is a Microsoft collaboration platform similar to Google Drive but much more. It is a location where team members can communicate, exchange data, and collaborate; it can be [..]

any shared file repository, blogs, or web content management system.

2-Why Did Microsoft Develop SharePoint?

Drives that remembered, “S” or “X” had files that your entire team could access, but only one person could edit at a time a few years ago. You could also copy them to your local machine and edit them there, but this is not always possible. It causes glitches, chaos, and a lot of writing and labeling encrypted files, which is why Microsoft created SharePoint.

3-SharePoint Advantages

-Version of the file: It means you can have a file called “Important Report.” SharePoint will manage ‘Revision 1’, ‘Revision 2’, and so on. It even has a comment feature that allows you to describe changes made by the private review.

-Sign in/out: A user’s ability to protect a file from changes made by another user, and if someone tries to access a file that another user has checked out, SharePoint will prompt them to download it locally, but will also warn them that any changes made may be out of sync with the original. It is done by the current user, and this provides a simple workflow; one must at least wait for the other person to finish; newer versions even offer to notify the person when the file is edited.

-Indexing and Searching Power: Gone are the days of having to search through dozens of levels of folders.

-Integration with Windows applications: The ability to retrieve a file from SharePoint via the File > Open dialog boxes found in Windows programs such as Microsoft Office.

Microsoft has also retained the legacy drive concept, which means you can still open an Excel file from drive X, edit it, and save it as before. However, SharePoint scans the file in the background before re-verifying it and exporting it to you. All of these features are still available and functional, but SharePoint is now more than just a fancy drive.

4-Office 365, SharePoint, and the platform that connects them

While Google, Apple, Dropbox, and others improved their cloud services, Microsoft was on its own, with SharePoint becoming an important component of the Microsoft Office 365 product and cloud-based pairing with Office subscription.

SharePoint is a web-based content management system. You can use SharePoint to create pages and publish them as a website, but you can also create a site for your management team and then put web parts in it, such as a blog with ads, an Exchange list of team members, a library of documents, and a data grid driven by an Excel workbook.

5-What exactly is SharePoint nowadays?

SharePoint today builds on its strengths and compatibility with Windows, macOS, Android, iOS, and web browsers, and it retains the same concept of a “site,” but recent versions have added the ability to add apps to this site, and even third-party developers have a market where they can offer their own services.

SharePoint acts as a home base for your team, allowing you to collect files, discussions, ads, and any other type of collaboration you can think of.

6-Tips for Using SharePoint

SharePoint is included in Office 365, but only for business accounts. These accounts, however, can be obtained for as little as $5 per month.

The site is the central concept in SharePoint; you must first create a site before you can add content or tools to it.

Although SharePoint was similar to WordPress in terms of inserting and publishing content to a public website, the Office 365 version is more commonly used for that.
